Where this desk sits in the proposal

Between a measurement that already exists and a document a homeowner will read. The report arrives with areas, pitches, facets and edge lengths; the proposal has to turn those into what you are selling, priced the way you price it, with the exclusions you actually apply.

In practice that is template work, line-item discipline and version control. Which template this job uses. Whether the figures in the document match the report it claims to come from. Whether the version the customer holds is the one the company thinks they hold — which is a surprisingly frequent disagreement and always an expensive one.

We act on a measurement we did not take

The measurement is the foundation of everything the document says, and nobody at this desk produced it. It was generated from imagery of a specific building on a specific date, by a process with its own assumptions about what counts as a facet and where one surface stops.

Those assumptions are silent and they travel. A report that read a covered porch as roof area, or missed a lower section shaded at the moment of capture, produces a proposal that is internally consistent, professionally formatted and wrong by an amount nobody can see. The document does not carry a note saying which parts of the roof it is confident about.

And the desk cannot check. The only correction available is somebody looking at the actual building, which is a crew activity, not an office one. What an outside desk can do is refuse to launder uncertainty: record which report a proposal used and when it was taken, keep the figures traceable to it rather than adjusted toward a feeling, and escalate a disagreement instead of resolving it quietly.

The discipline that follows is narrow. A number that cannot be traced to the report has no business in the document, however reasonable it looks — because the person who will be held to it is standing on the roof three weeks later.

One way in, nothing out. The work happens inside a boundary you own, under a permission you granted and can withdraw, so that a number in front of a homeowner can be traced back to where it came from. The sealed band is drawn inside the boundary on purpose — it is not a limit on what we do, it is a statement about what does not move.

Fast to produce, and unforgiving upstream

The strength is genuine: once templates are right, a complete and presentable proposal takes very little time. For a roofing company competing on how quickly a homeowner receives something after the visit, that is a real advantage rather than a convenience.

The cost of that speed is that errors travel just as fast. A wrong template selection or a stale price applies itself cleanly across every line and produces a document that looks entirely correct. Nothing in the output signals which inputs it trusted.

So the work that pays is upstream and boring: template hygiene, consistent naming, and a record joining each document to the measurement behind it. That last one is the piece companies skip, and it is the piece that turns a dispute six weeks later into a two-minute lookup instead of an argument between two memories.

Granted access, and the things that stay put

Access you issue inside your own account. Not a shared password — proposals are documents that commit a company to a price, and being able to say who produced which version is the protection.

Reports and templates do not move. Nothing is exported to a system of ours. The measurement history stays where the proposals that used it live.

Pricing and inclusions are yours. We keep the templates faithful to what you decided; we do not decide it.

Starting from the reports you already have

The first task is an audit of the templates against what the company currently sells. Most sets contain at least one item that has been wrong for a while — a superseded warranty clause, an exclusion that no longer applies, a price that moved everywhere except here.

Working backwards through recent proposals establishes which measurement each came from, and where that link was never recorded, noting it as unknown rather than reconstructing it. An invented provenance is worse than a gap, because a gap prompts a question.

Only after that does volume work start. Producing documents quickly on top of templates nobody has verified is how a company scales a mistake, and the audit takes days rather than weeks.

What owners ask about proposals built from a report

Do you decide what goes in the proposal?

No. What you sell, at what price, with which inclusions and exclusions, is a commercial decision and it stays with you. What this desk does is make sure the document says what you decided, consistently, every time — and that the figures in it can be traced back to the measurement they came from rather than to somebody’s recollection of a similar roof.

What happens when the measurement looks wrong?

It gets flagged before the proposal goes out, not corrected quietly. A number that disagrees with what the crew saw is worth a conversation with whoever can look at the roof — and that is nobody at this desk. Adjusting a figure to make a document feel right is the single most expensive habit available here, because everything downstream then rests on a value with no origin.

Can you keep the templates up to date?

That is most of the durable value. Templates drift out of step with what a company actually sells — an exclusion that stopped applying, a line item renamed, a warranty paragraph superseded — and the drift is invisible until a customer holds you to an old one. Keeping them current is unglamorous and it is the part that prevents arguments.

We already have measurements from elsewhere. Does that work?

Usually, and it is a common arrangement. The important thing is not where a measurement came from but that the proposal records which one it used and when it was taken. A document built from one report and revised against another, with nothing noting the change, is the situation nobody can unpick afterwards.

How fast can proposals go out?

Faster than most owners expect, and speed is not the constraint worth optimising. The bottleneck is almost never the document — it is the decision about what to include, which needs somebody who knows the job. What a desk removes is the gap between that decision and the customer receiving something, which is where days usually go.

What do we get if we take this back in-house?

A template set that matches what you sell, a record of which proposal came from which measurement, and a written account of how the two are joined. The system stays yours throughout, so there is nothing to migrate — the handover is somebody reading a document rather than importing a file.
